This notice explains how The Calm Approach handles personal information collected through thecalmapproach.co.uk and through enquiries about our Forest School Club and private tutoring services. The Calm Approach is responsible for this information.
What information we collect
If you contact us, we may collect your name, email address, telephone number, enquiry type, your child’s first name and anything you include in your message. If you use one of our services, we may also collect the information needed to provide it safely, such as contact, attendance, payment, medical, allergy, additional-needs, permission and safeguarding information.
When you visit the website, WordPress.com may process technical information such as your IP address, browser and device information, pages viewed, referring website and approximate location. This is used to host, secure and operate the website and to provide basic Site Stats.
How and why we use it
We use personal information to reply to enquiries, arrange and provide our services, communicate with parents and carers, keep children safe, manage payments and records, and meet legal or safeguarding responsibilities. We rely on the steps needed before or during a service agreement, our legitimate interests in running the business safely, legal obligations and, where appropriate, consent. We do not sell personal information or use it for unrelated marketing.
Who handles the information
The website is hosted by WordPress.com, which is operated by Automattic Inc. Automattic processes visitor information to host, secure and operate the website and provide Site Stats. Automattic states that web-server logs and IP addresses used for Site Stats are generally retained for approximately 30 days. You can read Automattic’s privacy notice for visitors to users’ sites.
Contact-form messages are processed by FormSubmit so they can be delivered to us by email. FormSubmit says it may retain submissions for up to 30 days. We may also share information with trusted service providers or relevant authorities where this is needed for safeguarding or required by law. Some providers may process information outside the UK using appropriate data-protection safeguards.
How long we keep it
We keep information only for as long as it is needed for the enquiry or service, and for any relevant safeguarding, insurance, accounting or legal requirements. We then delete it securely when it is no longer required.
Cookies and external links
WordPress.com may use essential cookies and similar technologies to operate and secure the website and compile basic Site Stats. We have not enabled Google Analytics, WordAds or other advertising tracking. If this changes, we will update this notice and ask for consent where required. You can read Automattic’s cookie policy. Links to social-media sites and other external websites are covered by their own privacy policies.
Photography and children’s privacy
Any photograph in which a child is identifiable is published only where appropriate permission has been obtained from their parent or carer. Some images may be digitally altered, anonymised, reconstructed or fictionalised to protect children’s identities while still representing the genuine activities and experiences offered through The Calm Approach.
We do not publish children’s names alongside photographs. Parents and carers may contact us to discuss the use of an image or request its removal.
Your rights
Depending on the circumstances, you may ask to see, correct or delete your personal information, restrict or object to its use, or ask for a copy in a portable format. You may withdraw consent at any time where consent is the basis for using the information.
